When to register your event

Depending on the nature of your event, you may be required to notify the university 5 days, 10 days, or a whole semester before the event date.

Greek organizations must notify the Office of Sorority and Fraternity Life of all social functions and events that involve alcohol at least 5 business days before the event.

Greek organizations must notify the Office of Sorority and Fraternity Life at least 10 business days before the event if more than four chapters are co-hosting, or if event attendance is 500 people or more.

If your Greek organization plans to have an outdoor event larger than 500 people, or any type of concert, during Welcome Week, Homecoming Week, or Little 500 Week, you must notify the Office of Sorority and Fraternity Life a semester in advance.

Greek organizations may not host events with alcohol that are open to the public, unless the Vice Provost and Dean of Students Office gives specific approval.

Beer and wine only

  • Beer and/or wine may be served and consumed at Greek events. No other type of alcohol may be possessed, consumed, or served, with the exception of third-party vendor events.
  • Beer and/or wine may be possessed and consumed only by members and guests who are 21 years of age or older.
  • Beer must be served in its original, unopened can or bottle by a sober member who is 21 years of age or older.
  • Wine must be poured in plain sight at the bar by a sober member who is 21 years of age or older.
  • A Greek organization, its international or national organization, its alumni board, or the house corporation may ban or limit all forms of alcohol provided at social events or functions at any time.

Guest lists and attendance

Guest lists are required for all events involving alcohol. Guest lists should not be larger than the capacity of the space, as determined by the Indiana State Fire Marshal. This applies to events on or off campus, including (but not limited to) chapter houses and courtyards.

Greek organizations are required to:

  • Maintain the guest list during the course of the event
  • Keep the guest list for at least two years following the event
  • Provide a copy of the guest list to the Vice Provost and Dean of Students Office, if requested

Sober monitors

For every 20 attendees, Greek organizations must provide one sober monitor in order to provide a safe social environment. The majority of sober monitors must be non-first year members and must receive alcohol and drug interaction training. As the title suggests, sober monitors must abstain from use of any alcohol, illegal drugs, or any other substance that might impair their awareness.

If a function is cosponsored by multiple Greek or student organizations, each organization will provide sober monitors to assist in protecting the safety of that organization’s members and guests.

Indiana Lifeline Law

We urge students to look out for each other, both on and off university property. The Indiana Lifeline Law gives immunity for minor alcohol offenses to people who are seeking medical assistance for a person suffering from an alcohol-related health emergency.
